JOB SUMMARY

The Associate Manager, Commercial Operations provide high levels of customer service with some level of supervisor support to Adare’s commercial customers. The individual supports Adare Pharma Solution’s business by working with Business Development, Finance, Legal, and Operations (including Supply Chain, QC, Regulatory, DEA), functions to ensure Adare’s finished product customers are managed appropriately and within Adare’s accepted business practices. The Associate Manager, Commercial Operations will be the primary point of contact for the day-to-day commercial activities including customer communications, contract oversight, managing Adare’s orders from customers via the ERP, performing basic financial modeling in MS Excel and graphic representation of material in MS PowerPoint. The individual also plays a key role in the supply and operational planning process for business forecasting. In this manager level role within commercial operations, this Associate Manager will be responsible in performing most tasks with some level of support and direction from leadership or other commercial operations team members.

RESPONSIBILITIES AND LEARNING OPPORTUNITIES

  • Manage and grow business relationship with assigned customers
  • With some support from leadership, proactively identify additional work areas with customers and draft proposals, informing related BD and CO functions as appropriate prior to execution
  • Support BD with account prioritization and new business generation
  • Responsible for reporting sales performance and forecast for the assigned geographic area to SIOP and ELTs;
  • Coordinate and collect information from all functions to ensure best customer service (including use of Company’s ERP system to record Forecasts and Purchase orders from customers);
  • Ensure appropriate contractual coverage, including negotiation of contracts and amendments with customers with limited supervisor support;
  • Monitor contract obligations and key milestones (contract duration, price increases etc); interact with other functions (Operations, Supply Chain, Finance, Legal) to ensure customers are managed appropriately
  • At times in conjunction with BD, present to customer and to internal functions;
  • Travel to meet clients (time to travel about 10-25%), attend road shows and fairs
  • Prepare sales and forecast analysis;
  • Monitor sales to customers and prepare regular report on sales (profit share), royalty, forecasts, service level (on time delivery, quality complains etc). Maintain an alert list with outstanding issues and manage with limited supervision remediation activities for each customer and provide suggestions for remediation and execute upon alignment with leadership.
  • Proactively handle arising customer service issues related to product quality, delivery timeliness, requests from customer on documentation
  • With limited leadership support, ensure provisions of Supply and Quality Agreements (in consultation with Quality) are enforced and observed.
  • Fluent with the ERP and perform the necessary transactions regularly within the ERP regarding receipt of purchase orders and billing in connection with finance.
  • Prepares summary reports using IMS market data and customer sales data to develop estimated accruals for royalties and/or profit sharing for Finance and Business Development
  • Manages and supports Adare’s pricing model for specific customers, i.e. negotiates with information on standard costs, concludes and properly documents annual price increases, while also working with operational groups to manage extraordinary price increases to customers.
  • Coordinate and lead virtual customer meetings on a regular basis to review forecasts, PO quantities and other tactical topics. Must provide timely and accurate meeting notes for documentation and follow up.
  • Documents and updates all contacts and meeting summaries in appropriate CRM system and maintains records on a regular basis
  • Organize, participate and contribute in weekly operations scheduling meetings to understand status of deliveries and provide commercial feedback to operations and Business Development, as appropriate.
  • Identifies and provides solutions to commercial operations activities to improve process and customer service.

Requirements

  • BS/BA degree in a science related field; MBA or MS a plus
  • 3+ years’ experience in customer service position within the pharmaceutical, chemical, or medical device industry; experience at a CDMO/CMO desirable.
  • Pharmaceutical, chemical or medical device industry experience is required.
  • Experience in leading product launch activities to include coordination as needed with product development, procurement (API and materials), Packaging outsourcing, DEA documentation (as needed), regulatory documentation requirements (labeling requirements), QC and stability activities
  • Working knowledge of supply chain, supply and quality agreements terms and concepts.
  • Proficient in Microsoft Office
  • Ability to use an ERP system
